Retreat Terms & Conditions

These Retreat Terms & Conditions apply to bookings for the Health Optimisation Retreat and govern your participation in the Event. They set out important information regarding bookings, payments, cancellations, accommodation, activities, health and safety, liability, and your rights and obligations as an Attendee. By completing a booking, you agree to be bound by these Retreat Terms & Conditions. These terms prevail over the Site Terms & Conditions in the event of any conflict.

This Retreat is an experiential educational Event. Accommodation, meals, and activities are provided solely to facilitate attendance at the Event and are ancillary to the educational programme. They do not constitute a holiday, travel service, or package travel arrangement.

1. THE EVENT

The “Event” refers to the Health Optimisation Retreat taking place at Angsana Corfu Resort & Spa, Greece, from 24–27 April 2026. The Event is an immersive, experiential educational programme curated and organised by Health Optimisation Summit Ltd.

Accommodation, meals, and ancillary activities are included solely to support and facilitate participation in the Event and are not offered or sold as standalone travel services. Health Optimisation Summit Ltd does not provide or arrange transport, travel services, or travel insurance.

The Event comprises educational workshops, facilitated discussions, and optional wellness and movement sessions delivered within the Event environment.

The programme, speakers, locations, and schedule are subject to change where reasonably necessary due to operational, safety, or logistical considerations.

2. EVENT ORGANISER

The Event is organised by Health Optimisation Summit Ltd (Company No. 11881895), whose registered office is at Health Optimisation Summit, 23 High Street, Bagshot, Surrey, United Kingdom, GU19 5AF.

Health Optimisation Summit reserves the right to modify, adapt, or make reasonable changes to the Event where necessary due to operational, safety, or logistical considerations.

The Event includes workshops and sessions delivered by Health Optimisation Summit and by independent third-party facilitators. Such workshops may take place within the venue, in the venue’s outdoor spaces, or at off-site locations associated with the Event (for example, hiking trails or public beaches). The content, facilitators, locations, and availability of workshops may vary.

3. BOOKING & ACCOMMODATION

Accommodation is arranged at Angsana Corfu Resort (the Hotel) solely for the purpose of facilitating attendance at the Event. All Attendees are subject to the Hotel’s standard terms, house rules, and policies, including standard check-in (15:00) and check-out (11:00) times.

Room allocation is subject to availability. Health Optimisation Summit reserves the right to reallocate rooms or make substitutions of an equivalent standard where reasonably necessary.

The Attendee is personally liable for any damage caused to Hotel property or accommodation during their stay and may be charged directly by the Hotel in accordance with its policies.

4. WORKSHOPS & ACTIVITIES

Participation in all workshops, activities, and sessions (including, but not limited to, hiking, breathwork, movement sessions, and wellness treatments) is voluntary.

Health Optimisation Summit reserves the right to limit capacity, modify, substitute, reschedule, or cancel any workshop or activity where reasonably necessary due to safety, weather, environmental conditions, facilitator availability, or operational considerations.

An Attendee’s decision not to participate in any activity, or the unavailability of a specific activity due to capacity or safety limitations, shall not entitle the Attendee to any refund, credit, or compensation.

5. ENTRY & TICKETS

Tickets constitute personal, revocable licences to attend the Event and are non-transferable except with the prior written consent of Health Optimisation Summit. The resale of tickets for profit is strictly prohibited and will render the ticket void.

i. Registration & Pre-Booking

Registration for the Retreat is open until all available places have been filled. Attendees must complete the booking process via https://retreat.healthoptimisation.com. Entry to the Event is strictly limited to pre-registered Attendees. Tickets will not be available for purchase at the venue or “on the door”.

ii. Booking Confirmation

A booking is confirmed only once the required deposit or full payment has been successfully processed and a confirmation email has been issued to the Attendee.

iii. Identification Requirement

The Attendee acknowledges that a valid passport or government-issued photographic identification is required for international travel and is legally mandatory for hotel check-in at Angsana Corfu Resort. Failure to present valid identification may result in refusal of access to accommodation, for which Health Optimisation Summit accepts no responsibility.

iv. Age Policy

The Event is intended solely for Attendees aged 18 years or older. No persons under the age of 18 will be permitted to attend.

v. Data Accuracy

The Attendee warrants that all information submitted during the booking process, including names, passport details, and any requested disclosures, is complete, accurate, and truthful. Health Optimisation Summit is not responsible for any loss, denial of entry, or inability to participate arising from inaccurate or incomplete information provided by the Attendee.

vi. Data Processing

By registering for the Event, the Attendee provides personal information necessary to process the booking. The Attendee acknowledges that additional information, including dietary requirements and relevant health information, will be collected via a mandatory Attendee Onboarding Form prior to the Event, in accordance with Section 13 (Data Protection).

vii. Personal Costs

Unless expressly stated as included on the booking page, all costs associated with participation in the Event — including, without limitation, international flights and travel insurance — are the sole responsibility of the Attendee.

6. RESPONSIBILITY

i. This contract is entered into between Health Optimisation Summit Ltd and the “Main Buyer” (being the individual who completes the booking and makes payment). The Main Buyer agrees to these Terms and Conditions on their own behalf and, where applicable, on behalf of all individuals included in the booking.

ii. Where the Main Buyer purchases access for additional Attendees (including, without limitation, a partner, spouse, or corporate group), the Main Buyer warrants that they have the authority to accept these Terms and Conditions on behalf of each such Attendee and to bind them accordingly.

iii. The Main Buyer accepts full financial responsibility for the booking, including payment of all amounts due and any charges or damages incurred by members of their party. All booking-related communication and any disputes arising in connection with the booking shall be conducted solely with the Main Buyer.

iv. While financial responsibility rests with the Main Buyer, each individual Attendee is responsible for their own conduct, compliance, and participation. The Main Buyer agrees to ensure that each Attendee in their party completes the mandatory Attendee Onboarding Form. Failure to do so may result in the individual Attendee being refused participation in certain activities for safety reasons, without refund or compensation.

7. PAYMENT TERMS & CONTINUOUS AUTHORITY

A non-refundable deposit is required to secure a booking. The deposit represents a commitment to the Event and contributes toward non-recoverable costs incurred in reserving accommodation, venue space, and associated services. The remaining balance must be paid in accordance with the payment schedule selected at checkout.

Where a payment plan is selected, the Attendee authorises Health Optimisation Summit Ltd to charge the payment card provided at the time of booking for the agreed instalments on the specified due dates. This authority constitutes a continuous payment authority. The Attendee remains responsible for ensuring that sufficient funds are available on the payment card on each due date.

If an automatic payment fails, Health Optimisation Summit may attempt to retry the charge. If any balance remains unpaid for more than 14 days after the due date, Health Optimisation Summit reserves the right to cancel the booking in accordance with Section 8 and retain any monies paid to date, except where otherwise required by applicable law.

The Attendee is responsible for any bank charges, card fees, or currency conversion costs incurred in connection with payments.

8. CANCELLATION

Due to the nature of the Event and the substantial non-recoverable costs incurred well in advance (including accommodation, venue hire, staffing, and operational services), the following cancellation terms apply.

The deposit paid at the time of booking is non-refundable, as it contributes to irrecoverable costs incurred immediately upon confirmation of the booking.

If an Attendee cancels their booking more than 30 days prior to the Event start date, any amounts paid in excess of the non-refundable deposit may, at the sole discretion of Health Optimisation Summit Ltd, be issued as a partial credit. Such credit shall not exceed 50% of the total Event fees paid (excluding any fees) and may be applied toward a future Health Optimisation Summit or Health Optimisation Retreat Event commencing within 12 months of the original Event start date.

If an Attendee cancels their booking within 30 days of the Event start date, no credit, refund, or transfer shall be issued, and all amounts paid shall be retained.

Such credits are non-transferable, have no cash value, and must be redeemed in a single transaction unless otherwise agreed in writing. No cash refunds will be issued except where required by applicable law.

Health Optimisation Summit Ltd shall not be responsible for any costs incurred independently by the Attendee, including (without limitation) international flights, travel arrangements, accommodation outside the Event, insurance premiums, or personal expenses. Such costs are the sole responsibility of the Attendee and are not refundable under any circumstances, including where the Event is modified, postponed, or cancelled due to a Force Majeure Event.

Nothing in these Terms and Conditions affects any statutory rights the Attendee may have under applicable consumer protection law.

9. ACTIVITY & RISK DISCLAIMER

The Attendee acknowledges that the Event involves physical and wellness-related activities, which may include, without limitation, guided hiking on uneven terrain, cold water immersion (including ice baths), sauna use, swimming, and movement-based sessions. Participation in all such activities is voluntary.

All activities, sessions, and wellness technologies provided at the Event are offered for general wellness, experiential, and educational purposes only. No representations are made regarding therapeutic, diagnostic, prEventative, or clinical outcomes. Nothing provided at the Event constitutes medical advice, diagnosis, or treatment, and the Event is not a substitute for professional medical care.

The Attendee confirms that they are responsible for assessing their own physical condition and suitability to participate and are strongly advised to consult a qualified medical professional prior to engaging in any activity where they have concerns about their health. The Attendee participates in all activities at their own risk and voluntarily assumes the inherent risks associated with such participation.

Health Optimisation Summit Ltd reserves the right to restrict or refuse an Attendee’s participation in specific activities, or in the Event generally, where information disclosed by the Attendee (or observed during the Event) reasonably indicates that participation may pose a risk to the Attendee or others. Any such restriction or refusal shall be for safety reasons only and shall not give rise to any refund or compensation.

To the fullest extent permitted by law, Health Optimisation Summit Ltd shall not be liable for any injury, illness, or loss arising from participation in activities at the Event, except where such injury, illness, or loss is caused by the negligence of Health Optimisation Summit Ltd.

i. Third-Party Equipment and Wellness Technologies

The Event may provide access to wellness technologies and equipment, including but not limited to PEMF devices and red-light therapy equipment. Such equipment is provided for general wellness and experiential purposes only and does not constitute medical treatment or advice.

The Attendee agrees to use all equipment strictly in accordance with instructions provided and acknowledges that Health Optimisation Summit Ltd shall not be liable for injury or adverse effects arising from:

  • misuse or failure to follow instructions; or

  • failure to disclose relevant medical conditions or contraindications (including, without limitation, pregnancy, implanted medical devices, or pacemakers).

Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, or any other liability that cannot be excluded under applicable law.

10. TRAVEL & INSURANCE

Attendees are responsible for making their own travel arrangements to and from the Event, including international flights. Health Optimisation Summit does not arrange or provide travel services and accepts no responsibility for travel-related disruptions, delays, or losses.

Attendees are strongly encouraged to obtain comprehensive travel insurance covering, where appropriate, medical expenses, repatriation, trip cancellation or curtailment, and personal accident or injury. Health Optimisation Summit does not provide insurance and accepts no liability for any costs, losses, or expenses arising from an Attendee’s failure to obtain adequate insurance coverage (including, without limitation, missed flights, medical expenses, or lost luggage).

11. RIGHT TO REFUSE ENTRY OR PARTICIPATION 

Attendees are expected to behave in a respectful, responsible, and considerate manner at all times during the Event. Health Optimisation Summit reserves the right to refuse an Attendee’s attendance at the Event, or their participation in specific activities (including, without limitation, hiking or thermal exposure), where it reasonably considers such action necessary for safety, operational, or conduct-related reasons.

This includes, but is not limited to, circumstances where an Attendee:

  • fails to comply with these Terms and Conditions or the reasonable directions of Health Optimisation Summit staff;

  • is under the influence of alcohol or drugs to an extent that compromises their own safety or the safety of others; or

  • engages in behaviour that is disruptive, unsafe, harassing, or otherwise undermines the respectful and inclusive environment of the Event (the “Safe Space”).

i. Consequence of Removal

Where an Attendee is refused entry to the Event or removed from participation under this section, no refund or credit will be provided. The Attendee shall be solely responsible for any alternative accommodation, travel arrangements, or associated costs incurred as a result.

12. FILM, MEDIA & PRIVACY 

i. Grant of Rights

Health Optimisation Summit Ltd and its authorised partners may photograph, film, or record the Event for legitimate promotional, documentary, and brand-related purposes. By attending the Event, the Attendee acknowledges that photography, filming, and recording may take place in which they may appear incidentally or as part of the Event environment.

To the extent permitted by law, the Attendee grants Health Optimisation Summit Ltd a worldwide, perpetual, royalty-free licence to use the Attendee’s image, likeness, voice, and appearance in any media (including online, social media, and print) solely in connection with the promotion, marketing, and documentation of the Event and future Health Optimisation Events, without compensation.

Attendees who do not wish to be featured in identifiable close-up photography or filming may notify Health Optimisation Summit Ltd in writing prior to the Event or upon arrival. Health Optimisation Summit Ltd will use reasonable efforts to accommodate such requests; however, complete exclusion from incidental, background, or crowd-based footage cannot be guaranteed.

13. DATA PROTECTION

Health Optimisation Summit Ltd processes personal data in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Full details of how personal data is collected, used, stored, and protected are set out in our Privacy Policy, available on our website.

To deliver the Event, strictly necessary personal data may be shared with operational partners for legitimate purposes, including:

  • Angsana Corfu Resort: name and passport details, as required for hotel check-in and local legal compliance.

By submitting the mandatory Attendee Onboarding Form, the Attendee explicitly consents to the processing of special category data, including information relating to allergies, injuries, and dietary requirements. Such data is processed solely for safety, wellbeing, and operational purposes and is accessible only to those parties who require it for those purposes.

14. INTELLECTUAL PROPERTY

i. Event Content

All content, materials, presentations, recordings, and trademarks displayed or made available at the Event remain the property of Health Optimisation Summit Ltd or the respective speakers. No content may be recorded, reproduced, distributed, or used for commercial purposes without the prior written consent of Health Optimisation Summit Ltd or the relevant rights holder.

ii. Attendee Contributions

The Attendee grants Health Optimisation Summit Ltd a perpetual, worldwide, royalty-free licence to use any comments, feedback, testimonials, or ideas voluntarily shared by the Attendee during or after the Event for marketing, promotional, editorial, and service improvement purposes, without further notice or compensation.

15. FORCE MAJEURE

Health Optimisation Summit Ltd shall not be liable for any failure or delay in the performance of its obligations under these Terms and Conditions where such failure or delay results from Events or circumstances beyond its reasonable control (a “Force Majeure Event”).

Force Majeure Events include, without limitation, acts of God or nature (including fire, flood, earthquake, storm, or other natural disaster), epidemic or pandemic, public health emergency, war, invasion, acts of foreign enemies, hostilities (whether or not war is declared), civil war, rebellion, insurrection, terrorism, nationalisation, government action or restriction, sanctions, embargoes, labour disputes, strikes or lockouts, failure or interruption of utilities or communications networks, or any other Event beyond reasonable control.

In the Event of a Force Majeure Event, Health Optimisation Summit Ltd reserves the right to suspend, delay, modify, relocate, or cancel the Event.

Where the Event is cancelled due to a Force Majeure Event, Health Optimisation Summit Ltd shall not be liable for any additional losses or damages arising from such cancellation. Any remedies available to Attendees shall be subject to Section 8 (Cancellation) and to any mandatory rights or remedies required under applicable law.

16. LIABILITY

i. Compliance & Safety

By participating in the Event, the Attendee agrees to comply with these Terms and Conditions and all reasonable safety instructions issued by Health Optimisation Summit Ltd or Event staff. For safety reasons, Attendees who do not possess required equipment or attire (for example, appropriate footwear for hiking activities) may be refused participation in specific activities without refund or compensation.

Participation in optional add-on activities (including additional spa or wellness treatments) is voluntary and may be subject to additional charges.

ii. Indemnity

To the fullest extent permitted by law, the Attendee agrees to indemnify and hold harmless Health Optimisation Summit Ltd and its directors, officers, employees, contractors, and agents (the “Released Parties”) against any claims, losses, damages, liabilities, or expenses arising out of:

  • the Attendee’s breach of these Terms and Conditions;

  • negligent, reckless, or wilful acts or omissions of the Attendee; or

  • damage to property or injury to persons caused by the Attendee.

This indemnity does not apply to any liability arising from the negligence or wilful misconduct of the Released Parties.

iii. Limitation of Liability

Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under applicable law.

Subject to the above, and to the fullest extent permitted by law:

  • the total liability of the Released Parties arising out of or in connection with the Event shall be limited to the total fees paid by the Attendee for the Event;


  • the Released Parties shall not be liable for any indirect, incidental, or consequential loss or damage, including (without limitation) loss of earnings, travel costs, or accommodation expenses not expressly included in the booking.

17. DISPUTES, GOVERNING LAW & JURISDICTION

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the English Courts. 

This governing law section does not exclude the application of any mandatory consumer protection or safety laws applicable in the jurisdiction where the Event takes place.

18. ENTIRE AGREEMENT & VARIATION

These Terms and Conditions constitute the entire agreement between Health Optimisation Summit Ltd and the Attendee in relation to the Event and supersede all prior or contemporaneous agreements, representations, statements, or understandings, whether written or oral, relating to the Event.

The Attendee acknowledges that they have not relied on any statement, representation, or promise not expressly set out in these Terms and Conditions when entering into this agreement, except where such reliance cannot be excluded by applicable law.

Health Optimisation Summit Ltd reserves the right to make reasonable changes to these Terms and Conditions where necessary due to operational, legal, safety, or regulatory requirements.

Where any change materially affects an Attendee’s rights or obligations, Health Optimisation Summit Ltd will notify the Attendee in advance using the contact details provided at the time of booking. Any updated Terms and Conditions will be made available on the Event website and will apply from the date specified.

Nothing in this clause limits or excludes liability for fraud, fraudulent misrepresentation, or any rights the Attendee may have under applicable consumer protection law.
